Privacy notice

Southstar Equestrian (9 Bawden Road, Dairy Flat, Auckland) collects and holds this information. The website and the system behind it are built and hosted by Marlaio, which handles it on our behalf.

From the form: the parent’s name, email and phone and their relationship to the child; each rider’s name, date of birth, riding experience, height and weight, and any health information you choose to give us; and one emergency contact’s name and phone.

From riding here: the lesson schedule, attendance, and the lesson-credit balance with the reason behind each movement in it.

From the system: the email you sign in with and the sign-in codes, and an activity log of who at the school viewed or changed which record and when.

Height and weight are used to match a rider to a horse, and to apply the 75kg rider weight limit in our terms.

The AI assistant on this site: what you type into it is sent to our AI provider to produce an answer. Once you are signed in it also uses your lessons remaining and your schedule to answer you; health information is never sent to it. Please don’t put names, phone numbers or health details in it — the registration form is where those belong.

You can see your own and your children’s information. A coach can see the riders they are teaching that day, including health information. The people who run the school work with the records their role needs — people, the schedule, registrations and lesson credits.

We do not sell your information. Apart from photos used within the permissions you ticked, we do not pass it outside the school for other purposes.

Photo permissions are four separate choices on the registration form, none ticked by default: coaching review, your own parent portal, our website and social media, and advertising. Ticking one is not agreement to the others.

You can withdraw any of them at any time by email and we will stop using the photo that way. What is already published, or already shared or saved by others, may not be recoverable.

The emergency contact’s name and phone come from you rather than from them. IPP3A of the Privacy Act (in force from 1 May 2026) requires that the person is made aware of this, so the form asks whether you have told them.

The information is held in systems run by our service providers, whose servers may be outside New Zealand, so your information may be stored or transferred overseas.

We keep it while you are riding with us, and generally for seven years afterwards.

You can ask to see what we hold about you and your children, ask us to correct anything wrong, or withdraw a photo permission. Write to nzsouthstarequestrian@gmail.com.
